The type of personal information we collect  

We currently collect and process the following information:

  • Personal & Health Data, including gender, occupation, marital status, emergency contact details, current and past health conditions. * This data is only collected when you register as new client and as part of the consultation process. This is classed as special category data and we will require your explicit consent to process such data. We will obtain your explicit consent to process this data as part of our new client registration process.  

  • Financial Data, including payment card or bank details.  

  • Transaction Data, including details about transactions you have made on our website or in person including the payments to and from you along with other details of products and services you have purchased from us. 

  • Technical Data, including details about the device(s) you use to access our website including your internet protocol (IP) address, browser type and version, location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website. 

  • Usage Data, including information about how you use our website and services.   • Carry out our services to you as a wellbeing coach and herbalist; 

  • Prepare bespoke Wellbeing Plans as part of the consultation process; 

  • Follow up with you on your Wellbeing Plans and answer any queries you may have in respect of you consultations or Wellbeing Plans; 

  • Correspond with you as part of the consultation process; 

  • Send you information on items or events that may be of interest to you; 

  • Sign you up to our newsletters - you can unsubscribe to this at any time by contacting spound@amethystsageholisticherbals.co.uk or by clicking the link in the newsletter  

  • Usage & Technical Date – to understand how are website is used and to help develop our future marketing strategy and service offering 

 

We may share this information with professional advisers such as our lawyers and insurers to manage risks and legal claims. This is in our legitimate interests. 

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:  

  1. Your consent. You are able to remove your consent at any time. You can do this by contacting spound@amethystsageholisticherbals.co.uk. Please note that your explicit consent is required for us to process your Personal & Health Data as part of the consultation process. Should you remove your consent to our processing of this data at anytime then we will no longer be able to continue with consultation process.

How we store your personal information  

Your information is stored securely electronically in our Microsoft 365 OneDrive. Access to our OneDrive and computer devices is restricted and password protected with 2 factor authentication. Our computer devices and data are protected by Bitdefender Total Security. Passwords are changed on a regular basis. 

We may take handwritten notes as part of the 1-1 consultation process. All handwritten notes are scanned to our OneDrive as soon as possible after each consultation and then securely destroyed once scanned. We do not keep hard copies of client files or correspondence.

A Personal Data Breach Management Procedure is in place and is reviewed on a regular basis. 

We keep Identity, Contact Data, Personal & Health Data, Financial Data and Transactional Data all the time you are a client of our services. When you cease to be a client of our services, we will retain your data for 5 years, which is a requirement of our insurance providers, after 5 years your data is then securely deleted. 

If you make an enquiry via our website and you do not become a client of our services, then your Identity and Contact Data is deleted after 3 months. 

 

Your data protection rights 

Under data protection law, you have rights including: 

Your right of access - You have the right to ask us for copies of your personal information.  

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

We may also contact you to ask you for further information in relation to your request to speed up our response.
